How to Add Page Numbers to a PDF Online

Page numbers added from a print dialog are never written into the file, so they disappear the moment someone else opens the document. Permanent numbering is drawn into the page content and travels with the PDF wherever it goes.

Add page numbers in three steps

Upload your file to the Page Numbers tool, pick where the number should sit and enter the starting value. Every page in the document receives a number: the value you enter is printed on the first page and increases by one on each following page.

Download the result and open the first, a middle and the last page to confirm the position and sequence. Number the document only after every other edit is done, because deleting or inserting pages later leaves the printed numbers out of step with the real order.

Choosing a position that does not clash

Six positions are available: bottom or top, aligned left, centre or right. Bottom centre is the common choice for reports and academic work. Bottom right keeps the number on the outer edge, which is easier to thumb through in a bound document.

If the pages already carry a footer, a logo, a date stamp or a QR code, the new number can overlap them. The tool does not remove existing numbers; it draws a new one on top. When renumbering a document that already has numbers, choose an empty corner and check several pages rather than just the first.

Leaving the cover page unnumbered

The tool numbers every page without exception, so an unnumbered cover needs a three-step route. First use Page Extract to pull pages 2 to the end into a separate file.

Then number that file, starting at 1 if the cover does not count or at 2 if it counts but should stay blank. Finally use PDF Merge to put the cover back in front. The same approach keeps a table of contents or a preface outside the numbering sequence.

Numbering merged documents

When you are assembling several files into one document, number the result after merging. Numbering each part first produces a final file where the sequence restarts at 1 several times.

The reliable order is: merge, delete the pages you do not need, fix the page order and add numbers last. That sequence keeps the printed numbers consistent with a table of contents in application packs and reports with many attachments.

Quick checklist

  • Number the document only once it is final; deleting a page shifts every number after it.
  • Numbers added by a printer setting are not stored in the file.
  • Match the starting number to the numbering used in your table of contents.
  • Save the numbered copy under a different file name.

Frequently asked questions

What number format is used?

Plain digits only. Patterns such as Page 1 of 10 and Roman numerals are not applied.

Are the added numbers real text?

Yes. Each number is inserted as a text element on the page and the existing content is untouched.

Can I number only part of a document?

Not in one pass. Extract that section, number it, then merge the document back together.
