Team Document Workspace

While document work stays with one person, a version number in the filename is enough. Once several people touch the same file, the real problem is not storage — it is that nobody can say who changed what, or when.

Shared space and roles

Creating a team makes you its administrator. Members are added with one of three roles — administrator, editor or viewer — and the role decides what they can do in the space.

You can add members directly or send an email invitation. Pending invitations can be listed and revoked before they are accepted. The team owner cannot lose the administrator role, so a space is never left without one.

Documents live in the team, not in inboxes

Add a file from your personal workspace to share it with the team. Word, Excel, PowerPoint and PDF files sit in the same place, so everyone opens the current version from the same location.

AI suggestions follow the same rule on team documents: the change is shown as a comparison and is written into the file only after someone accepts it. In Word documents those edits can run through a Track Changes workflow, so an existing review process stays intact.

Who did what is recorded

The team space keeps an audit log and an activity feed covering membership changes, invitations and file events. The audit log is visible to administrators only.

That matters when someone later needs to ask why a document changed — particularly for contracts, proposals and reports that go through approval.

Sharing outside the team

When you need to work with someone who is not on the team, per-document sharing is a separate path: invite them as owner, editor, commenter or viewer.

PDFs can also be shared with a link, and the link can be revoked whenever you choose. For documents that need signing, you can request a signature from the other side.
